Recording of Telephone Calls
Radnor House Sevenoaks has an automatic telephone recording system which records calls made to, and from, the school using the new VOIP external telephone lines. Callers dialling into the school will hear an automated message informing them of this fact. Parents/carers have been informed of this recording system in a letter from the Head; employees have been informed via the school’s internal communications; other stakeholders are advised by email/letter/word of mouth as appropriate; and there is also notification on the school website via this announcement. The school is able to access and listen again to the content of these calls using the telephone management system. The system does not record internal telephone calls.
Access to Calls – Calls will not be routinely monitored, but will be accessed if a specific query or issue is raised. Call data will be held for a maximum of 12 weeks, after which it will be automatically deleted by the system. Access to the recording system will be restricted to the Head and the Head of the Senior School. Details of access to calls will be logged, together with the reasons for access, which will principally be for operational efficiency and quality. A monitoring system is in place to ensure the system is used securely, and that confidentiality is maintained.
